Track 6. Advanced Workflows

Team Collaboration and Permissions

Work as a team: invite colleagues with the Owner, Admin or Editor role and read the audit log when something changes unexpectedly.

6 min readLesson 3 of 4

You will set up a team inside an organisation, give each colleague exactly the access they need and use the audit log to understand who changed what and when.

The three roles

Invite colleagues by e-mail from the Organisation settings. The invitation stays valid for seven days, and the role chosen in the invitation can be changed later. Give the Editor role to the people who shoot and assemble the tour, and keep the Owner role for one or two people.

  • Owner — full control, including billing, the organisation and deletions.
  • Admin — manages projects, members, branding and publishing.
  • Editor — creates and edits scenes, hotspots and tours, and can publish.

Share without sharing too much

A project can be shared with a client as an Editor without exposing the rest of the organisation, and every action they take is recorded. For external agencies, create a separate organisation and move the project into it, so billing and member lists stay separate. On the Business plan the organisation can assign four roles — Owner, Admin, Editor and Viewer — and the check happens on the server, so a modified client cannot talk its way past it.

Read the audit log

  1. Open the audit log in the organisation settings.
  2. Filter it by member and by action type.
  3. Compare the timestamps with the version history.
  4. Export the log if the change has to be reviewed with a client.

The audit log records the action, the member and the time, but it does not store the previous value of an edited field. Keep a note in the project description when a change will have to be explained later.
